  • Coordinate event requirements with appropriate hotel departments like F&B and Kitchen staff, facilities maintenance, audio-visual logistics group, etc. to ensure they all work together for the event.
  • Meet and discuss with clients on the specifics of the event including the date and time, logistical requirements (audiovisual facilities, stage equipment, lightning, lectern, dressed-up tables, etc.), menu items and the number of tables for pricing and event planning purposes,
  • Make regular visits to the event and check with hosts to ensure that everything’s proceeding as planned.
  • Executing administrative duties including but not limited to: correspondence, contract generation, filing, administrative and clerical support to sales staff, and other duties as requested by management.
  • Promote the hotel’s event services to the local community by attending trade shows, different meetings, seminars and trade association meetings.
  • Increase the number of customers staying at the hotel by establishing an excellent relationship with a selected number of agencies (clients/prospects).
  • Achieve maximum quantity possible of direct sales calls a week including visits to the accounts, site inspections and entertainment in the hotel.
  • Update the hotel data-base further to the sales calls with any relevant information.
  • Develop specific account strategies in conjunction with Food & Beverage and Rooms teams when required by the situation.
  • Attend any function in the hotel or in the city where the presence of Group & Events Sales Manager is required in Almaty.
  • Constantly feed the team with new information, ideas and creative thoughts.
  • Respond timely to any changes in the departmental function as dictated by the industry, company, or hotel.
  • Ensure that a high level of client service is maintained, in all aspects of booking arrangements including:
    • Issuing of contracts for definite bookings and follow up deposits;
    • Communicating client requirements clearly and effectively via BEOs.
    • Maintaining comprehensive, accurate and systematic file notes within the hotel client database.
    • Organizing goods and services from establishments outside of the hotel utilizing the correct hotel procedures.
    • Prompt and effective post event follow up.
  • Provide at all times courteous, friendly customer driven service and project an attitude of enthusiasm and flexibility.
  • Lliaise with the Kitchen and Beverage department on daily operation and quality.
  • Have a thorough understanding and knowledge of all food and beverage items in the menu and the ability to recommend Food & Beverage combinations and upsell alternatives.
  • Handle guest enquiries in a courteous and efficient manner and report guest complaints or problems to supervisors if no immediate solution can be found and assure follow up with guests.
  • Must have excellent oral and written communication skills
  • Must have excellent interpersonal and people management skills
  • Has high computer literacy to use PC
  • Must have high organization, supervisory and managerial skills
  • As a management position, a bachelor’s degree in Hotel and Restaurante Management or related courses is basic.
  • 2-3 years of experience in a similar management capacity is an advantage.
